Get your club off spreadsheets: a simple migration guide

Almost every community club runs on a spreadsheet — a members tab, a payments tab, a rego tab, a volunteer roster that only one person really understands. It works right up until the day that person goes on holiday, or two versions of the file start disagreeing.

Why the spreadsheet eventually breaks

Spreadsheets don't send reminders, don't take payments, don't know who turned up, and don't have permissions. So the work lands on one volunteer who becomes the club's single point of failure. Moving to a purpose-built app isn't about being fancy — it's about the club not depending on one person's laptop.

Start with the members list

Your members tab is the foundation, so migrate that first. Once members live in the app, everything else — teams, events, payments, shop, volunteers — hangs off the same list instead of a dozen disconnected copies. Get this one thing in and you've done the hard part.

Move one workflow at a time

You don't have to switch everything in a weekend. A calm order that works for most clubs:

• Members — import your list; it becomes the single source of truth
• Teams — build squads from the member list, add coaches and managers
• Events & availability — put the fixture list in and start collecting RSVPs
• Payments — move memberships and shop items so money runs through the app
• Volunteers — replace the roster tab with self-selected shifts

Bring the volunteers with you

The migration succeeds or fails on adoption, not import. Move the workflows people touch most — RSVPs and payments — first, so the benefit is obvious in week one. Keep the old spreadsheet read-only for a few weeks as a safety net, then retire it once nobody's opening it.

Why it matters

Off the spreadsheet, the club stops depending on one person's memory and one fragile file. The admin spreads out, the data stays current, and the next committee inherits a system instead of a mystery.
