The pre-season checklist for community sports clubs

Round one always arrives faster than the committee expects. The clubs that start the season calmly are the ones that sorted the boring bits early — registrations open, teams named, checks done, canteen stocked. Here's a practical, skimmable checklist to work through before the first whistle, grouped so you can hand sections straight to the people who own them.

Members & registration

Nothing else can start until you know who's playing. Get registration open early so families aren't scrambling in the final week before round one.

  • Open registration. Set a start date and give it a hard deadline. With ClubApp, members register and renew online themselves, so the committee isn't chasing paper forms or bank transfers.
  • Set your fees and tiers. Decide on senior, junior, family and social membership types and what each includes. Collect fees online as members sign up so the money lands with the registration.
  • Chase renewals. Returning members are your easiest sign-ups. Send a renewal prompt to last season's members and make renewing a two-minute job.
  • Sort membership cards. Once a member is approved, they get a digital membership card in the app — handy for gate entry, member discounts and check-ins from day one.

Tip: If you only do two things early, make them open registration and rostering your volunteers. Both take the longest to fill and cause the most last-minute panic — get them moving weeks out and the rest of the checklist falls into place.

Teams & people

With registrations flowing in, you can start putting people into teams and roles.

  • Form your teams. Group registered players into teams by age or grade. In ClubApp, each team gets its own space where you can track availability and attendance for training and games.
  • Appoint coaches and managers. Confirm who's coaching and managing each team early — it's the role that's hardest to fill, so don't leave it to the week before.
  • Complete working-with-children checks. Anyone in a child-related role — coaches, managers, team helpers — generally needs the relevant clearance. Requirements and the name of the check vary by state and territory, so confirm what applies where your club plays and make sure every clearance is current before training starts.

Season logistics

The nuts and bolts of actually running matches and training.

  • Confirm fixtures and the training schedule. Lock in your league draw and set weekly training times. Once games and training are in ClubApp, players see them and mark their availability, so coaches know their numbers ahead of each session.
  • Book grounds and facilities. Confirm home ground allocations, lighting, change rooms and clubroom access for the season. Sort any shared-venue clashes with council or the local association now, not on match morning.
  • Check your equipment. Count and inspect balls, cones, bibs, first-aid kits, defibrillator, goal nets and uniforms. Order replacements early so nothing's on back-order when round one hits.

Money

A quiet season financially is one you planned for before it started.

  • Set fees and collect them online. Tie fees to registration so payment happens up front rather than through a season of chasing. Online payments through ClubApp mean the money is reconciled against each member automatically.
  • Draft a season budget. Map expected income (fees, canteen, sponsors) against costs (affiliation, grounds, equipment, insurance). Knowing your break-even point early stops nasty surprises mid-season.
  • Line up sponsors. Renew last year's sponsors and approach new ones before the season starts, while their marketing budgets are still open. ClubApp gives sponsors visibility in the app, so you've got something concrete to offer in return.
  • Set up the canteen and shop. Plan your canteen menu, stock and roster, and get your club shop ready so members can buy merchandise and uniforms online rather than only at the ground.

Communications

Half of pre-season stress is people not knowing what's happening. Fix that with a few clear messages.

  • Send a welcome message. As members join, welcome them and point them to everything they need for the season ahead. New families especially want to know they're in the right place.
  • Publish the key dates. Registration close, uniform pickup, first training, season launch, round one — get them out early and in one place.
  • Pick your channels. Decide how you'll reach members and stick to it. ClubApp announcements and push notifications land straight on members' phones, so important news doesn't get lost in a social feed or a group chat no one reads.

Volunteers

The season runs on volunteers, and the jobs don't fill themselves. Roster them early while goodwill is high and calendars are empty.

  • List the season's jobs. Canteen shifts, ground setup and pack-down, BBQ, first aid, ground marshals, scorers and timekeepers — write out everything that needs a person.
  • Roster it in advance. Build your volunteer roster before round one so parents can pick their slots up front. ClubApp volunteer rosters let members see open shifts and sign up themselves, instead of the same three people doing everything.
  • Say thank you. Plan how you'll recognise volunteers across the season — it's the cheapest way to keep them coming back next year.

Bring it all together

Work through these six groups a few weeks out and round one becomes just another game rather than a scramble. The order matters: registrations first, because teams, fixtures, money and communications all depend on knowing who's in. Get the members in, get the volunteers rostered, and the rest is far more manageable.
