The end-of-season checklist for community sports clubs
The final whistle of the season isn't really the finish line — it's the start of the wind-down. There are takings to reconcile, gear to chase, a presentation night to run and next year to line up. Do it in a rush and things slip through the cracks; do it methodically and you head into the off-season with a tidy set of books, happy volunteers and a head start on registrations. Here's a practical, grouped checklist to work through before the committee clocks off for summer.
Finances & the treasurer
The treasurer usually carries the heaviest end-of-season load, so start here while the numbers are fresh.
- Reconcile takings and payments — match every canteen float, gate takings and online payment against the bank statement so there are no loose ends.
- Chase any outstanding fees — pull a report of who still owes membership or registration fees and follow them up before the trail goes cold.
- Pay the bills — settle umpire fees, ground hire, association levies and any supplier invoices so nothing rolls over into next year.
- Prepare the financial report — get the season's income and expenses into shape for the committee and the AGM.
- Draft a budget for next year — use this season's actuals as your starting point for what fees, sponsorships and grants need to cover.
If your fees run through ClubApp, most of this is already sitting in one place — online payments are recorded against each member and the reporting tools let the treasurer pull income, outstanding fees and a season summary without rebuilding a spreadsheet from bank exports.
Celebrate & thank
The season doesn't end well unless the people who made it happen feel appreciated. This is the part everyone remembers.
- Run the awards or presentation night — sort out best-and-fairest, most improved and coaches' awards, and give it a proper send-off.
- Thank your volunteers — the team managers, canteen crew, scorers and committee who quietly kept things running deserve a genuine acknowledgement.
- Thank your coaches — a personal thank-you goes a long way toward getting them back next season.
- Thank your sponsors — send a note on how the season went and the exposure they received; it's the single best thing you can do for a renewal.
Use an announcement or push notification to invite everyone to the presentation night and to post a thank-you to the whole club afterwards — it lands with far more people than a Facebook post that half the members never see.
People & data
The off-season is the right time to tidy up who's who, while memories are still sharp.
- Update member records — fix changed phone numbers, emails and emergency contacts, and archive anyone who has genuinely moved on.
- Note who's leaving and returning — flag players moving up an age group, coaches stepping down and families relocating so you can plan numbers.
- Capture feedback — send a short survey to players and parents while the season is fresh; you'll learn more about what to fix than a committee could guess on its own.
Keeping a member directory current makes this painless — update a contact once and it flows through to teams, communications and next season's renewals, so you're not maintaining half a dozen copies of the same list.
Tip: Open next season's registrations and lock in your sponsors before the off-season lull sets in. Members are still engaged in the weeks after finals, and sponsors are easiest to renew while this season's results are top of mind — leave it until January and you'll be starting cold.
Gear & grounds
Equipment has a way of disappearing over summer, so account for it now.
- Collect and audit equipment — get balls, bibs, first-aid kits, coaching gear and playing uniforms back, and note what's worn out or needs replacing.
- Reconcile uniforms — chase any loan uniforms still with departing players so next season's stocktake is accurate.
- Report ground and facility issues — log any problems with the pitch, nets, lighting, sheds or clubrooms with your council or venue so repairs are booked before pre-season.
Review the season
Before it all blurs together, sit the committee down and take an honest look back.
- What worked — the events, the wins, the moments that lifted the club, so you keep doing them.
- Participation numbers — how registrations tracked by age group and gender, where you grew and where you slipped, and what that means for teams next year.
- What to change — the recurring gripes, the near-misses and the jobs that fell on too few people, with an owner against each fix.
Feedback survey responses and your registration and payment reports give this review some evidence to work from, rather than leaving it to whoever remembers the season most loudly.
Set up next year
A little groundwork now saves a frantic pre-season later. Get the scaffolding in place before everyone scatters.
- Pencil in key dates — season start, trials, working bees and the AGM, so people can plan around them.
- Schedule the AGM — set the date, call for committee nominations and give members proper notice.
- Open early registration — get next season's registration form live so keen families can sign up while enthusiasm is high.
- Send renewals early — invite this year's members to renew before they drift off; the earlier you ask, the higher the take-up.
- Confirm sponsor renewals — lock in returning sponsors and pitch any packages for next year while the relationship is warm.
ClubApp makes the last stretch straightforward: open early registration and membership renewals when you're ready, send them out through the app, and take payment online. Your sponsor features carry over too, so returning sponsors keep their presence in the app the moment they re-sign — no rebuilding from scratch each season.
Work through these six groups and the off-season stops being a scramble. The books balance, the volunteers feel valued, the data's clean, and next season is half-built before pre-season training even starts.
