How to pick your team sheet online (and publish it in minutes)

Every selector knows the drill. You scroll back through a group chat that's forty messages deep, trying to work out who said they were in, who pulled out on Thursday, and who never replied at all. You jot a list on the back of an envelope, cross names out, and half of it is out of date the moment you write it down. Come game day, no one's quite sure who's playing until they turn up. There's a calmer way to do this — and it starts with picking sides online from availability that's actually current.

Why the group chat is the worst place to pick a team

A group chat wasn't built for selection, so it fights you at every step. Availability is scattered across replies, emoji reactions and side conversations. People change their mind and the earlier "yes" still sits there looking valid. You can't see who hasn't answered without scrolling, and there's no single view of your squad — just a river of messages you have to reconstruct in your head.

The result is guesswork. You pick a side that looks right on Thursday night, and by Saturday morning two players you were counting on are unavailable and two you'd written off are keen. Nobody has a clear picture, so the questions start rolling in: "Am I in this week?" "What number am I?" "Where do I need to be?"

Start from real availability, not memory

ClubApp's selection board fixes the root problem first: it's seeded by your players' event RSVPs, so the availability you're picking from is current, not a snapshot from three days ago. When players respond to a match or training in the app, that answer flows straight into selection. You're not transcribing a chat — you're working from what people have actually said.

To start, you pick the match day, choose which events feed the pool of players, and set which grades are playing. From there, the board does the sorting for you.

A pool on the left, grades on the right

The board lays selection out the way a selector actually thinks. On the left sits your pool of players, grouped by availability with coloured dots so you can read the room at a glance:

  • In — players who've said yes and are ready to be placed
  • Maybe — the ones you'll want to chase before you commit
  • Out — unavailable this week, kept visible so nothing's a surprise
  • No reply — the players who still haven't answered, all in one spot

On the right are your grade columns, each with a running count so you always know how many you've placed and how many you still need. No more counting names on your fingers.

Build the side the way you want

Picking is hands-on and quick. Drag a player from the pool straight into a grade, or use the Move to menu if you'd rather tap than drag. As you place players, the counts update and the pool thins out, so the job in front of you gets clearer with every pick.

You can assign jumper numbers as you go, so the side is set the moment selection is done. And if you reach for someone you shouldn't, the board has your back: it flags when you select a player marked unavailable, so you don't accidentally name someone who's already told you they can't make it. If you're picking a big squad, you can resize the player cards so more of them fit on screen at once — handy when you're moving thirty names around rather than fifteen.

Short on numbers? If you need to fill a spot with someone from outside the usual squad, you can add a one-off fill-in guest to the side — handy for the week you're scraping to field a full team.

Same side as last week? Copy it across

Most weeks, selection isn't a blank page — it's last round's team with a couple of changes. So rather than rebuilding the side from scratch every time, you can copy a previous round's team straight into a new selection. The grades fill with the players who ran out last week, and you just adjust for the ins and outs: drop the player who's away, slot in the one who's back. For a regular, settled side, selection becomes a two-minute tidy-up rather than a full rebuild.

Enter the match details once

A team sheet is more than a list of names — it's who you're playing, where, and when to be there. On the selection board you fill in the match details: the opponent, the venue, the start time, a meet time (so players arrive early, not just on time), and any notes. It all auto-saves as you type, so there's no "save" button to forget.

The payoff is that you only enter it once. Those details flow straight into the selection notification, the email, the PDF team sheet and each player's match card in the app — so the venue you typed on Thursday is the same venue on every player's phone, with nothing retyped and nothing out of step.

Keep it current right up to game day

Availability keeps moving after you first open the board, and that's fine. Hit Refresh pool and any new RSVPs are pulled in, so a late "I can play" or "sorry, I'm out" shows up where you're working. You're never picking from a stale list — the board stays in step with your squad right up until you're ready to commit.

When the side is set, finalise to lock it in. Changed your mind, or had a late withdrawal? Reopen the board, adjust, and lock it again. Selection isn't a one-shot decision you're stuck with — it flexes with the week.

Publish it in minutes, without the spam

Once you've finalised, getting the team out is the easy part. You can export a clean PDF team sheet for the noticeboard, the coach or the match-day folder. And when you want to notify players, you don't blast the whole club — you email only the players whose selection changed, so people aren't buried in updates that don't concern them.

On the players' side, it's just as tidy. Each player gets a View selected team button and can see the full side laid out by grade, complete with jumper numbers. The "Am I in this week?" question answers itself, and everyone turns up knowing exactly where they stand.

And if the selected grade needs to talk — swapping lifts, confirming gear, sorting the warm-up — tap Message team to spin up a group chat for just that grade. The people who are actually playing get their own thread, without dragging the rest of the squad into it.

From chaos to a clear side

Picking a team online isn't about adding a gadget for its own sake. It's about starting from availability you can trust, building the side without transcribing a group chat, and publishing it so players actually see it. Do that, and selection stops being the dreaded Thursday-night job and becomes a few minutes of moving names into columns — with everyone on the same page long before the first bounce.
