Connect ClubApp to Xero once, and your sales, GST and fees flow straight into your accounts — every Stripe payout matches your bank in a single click, fully itemised by shop, memberships, tickets and more.
Stripe pays your club one lump sum every few days — but that deposit is really dozens of sales, minus fees, bundled together. Splitting it back out and reconciling it by hand is the job no treasurer signed up for. ClubApp does it for you: it records the real revenue, books the fees, and creates one deposit that matches your bank feed — so reconciling is a single click.
Clearing account (holds the gross) → minus fees → deposit into your bank. The clearing account nets to $0, so you only ever reconcile your real bank account. Example: a $91.48 payout is recorded as $95.00 revenue − $3.52 fees — your P&L shows the real numbers, GST is captured, and the $91.48 matches your bank feed.Connect to Xero in Settings — about 15 minutes, one time. After that it runs on its own, pulling each new Stripe payout and posting it to Xero by the next morning. No action needed.
ClubApp turns Stripe's lump deposit back into proper accounting — full revenue per stream (shop, memberships, tickets, passes, raffles, auctions, donations), each mapped to the Xero account you choose and split by category, event or membership type, with GST captured. Map it once; every sale lands in the right place on its own.
The Stripe and platform fees are recorded as an expense automatically, so your P&L shows the real numbers — $95 revenue, $3.52 in fees — instead of just the net deposit.
ClubApp creates a single bank deposit that matches your bank feed, through a clearing account that nets to zero. You only ever reconcile your real bank account — Xero suggests the match, you click OK. No "unreconciled" clutter.
A safe preview shows exactly what would post — every payout broken into revenue lines, GST and fees — and writes nothing to Xero. Perfect to check your mapping, or show your accountant before you go live.
Choose a daily summary or every transaction, show the shop by category or by item, and record revenue as journals (not capped by your Xero plan) or invoices. Backfill your history safely — already-posted payouts are skipped.
Only with a single click per payout. ClubApp creates one bank deposit that matches your Stripe payout in your bank feed, so when you open your real bank account in Xero it suggests the match and you click OK. The revenue has already been split out and the fees booked — reconciling just confirms the cash arrived.
Shop, event tickets, venue passes, auctions, memberships, raffles and donations all sync. Each maps to its own revenue account and breaks down by its natural entity — product category or item, membership type, event, raffle or fundraiser. Sponsorship and volunteer payments aren't synced yet.
Yes. GST mirrors each sale: a sale that carried GST posts as GST on Income, and one that didn't posts as GST Free. For a club that isn't GST-registered, sales carry no GST, so everything is GST Free — which is correct.
No. Money passes through a Stripe clearing account that nets to about zero — it's a current asset, not a bank account, so it has no bank feed and never clutters your reconciliation. If its balance is ever not around zero, that's a handy sign a payout hasn't synced.
Yes. A Preview shows exactly what would post and writes nothing to Xero, so it's the safe way to check your mapping or show your accountant. You can also trial the whole thing against Xero's free Demo Company before connecting your real organisation.
Most clubs choose Journals — the same P&L, GST and bank result, but not capped by your Xero plan's monthly invoice-approval limit. Invoices are available if you'd rather see the revenue in Xero's Invoices list. You can switch later with a safe undo-and-resync.
