Club Cash: cashless payments and member credit for clubs

Every club knows the float tin, the canteen cash box and the slow refund that takes three weeks to reach a member. Club Cash replaces all of that with a simple stored-value balance that lives in each member's ClubApp Wallet — money that's already inside the club, ready to spend.

What Club Cash is

Club Cash is a per-member stored-value balance — club credit — that sits in the member's ClubApp Wallet. It's enabled per club, so it only appears for members once your club turns it on. Think of it as a tab the member holds with the club: top it up, then spend it on anything the club sells.

Because the balance stays inside the club's own ecosystem, money that comes in through Club Cash stays with the club rather than leaking out to a separate payment account. It's one of the simplest ways to go cashless at the canteen and bar without losing track of a cent.

Club Cash is enabled per club. If a member can't see a Club Cash balance in their Wallet, it hasn't been switched on for that club yet.

How members top up

Members add funds to their own balance by card, through the in-app cart — the same checkout they'd use for anything else in the app. There's no cash to hand over and no float to reconcile. The moment payment clears, the balance updates in their Wallet and they're ready to spend.

How admins allocate and adjust

Club admins can allocate or adjust a member's balance directly. That covers all the everyday situations where a club needs to put money back in a member's hands:

  • Credits — top up a balance as a goodwill gesture or to settle an account.
  • Refunds — return money instantly as credit instead of chasing a bank transfer.
  • Prize credit — award raffle or competition winnings straight to the Wallet.
  • Reimbursements — pay back a volunteer or committee member who's out of pocket.

Every allocation and adjustment is recorded, so there's always a clear trail of who added what and why.

How members spend it

There are two ways to spend Club Cash, and both are quick:

  • At checkout in the app — apply Club Cash to a cart purchase, so the balance covers a membership renewal, a ticket, a pass or an item from the club shop.
  • In person — pay at the bar, canteen or club shop. Staff take the amount straight from the member's balance in one quick step, with no cash changing hands.

A full ledger for every member

Behind each balance is a complete activity ledger — every allocation, top-up, spend (whether in the cart or in person), adjustment, refund and expiry, all in one list. Members can see exactly where their credit went, and the club has a tidy record for its books. Club Cash activity also appears on in-app and emailed receipts and on the order confirmation, so nothing happens off the record.

The problems it solves

Club Cash is built for the real headaches of running a club:

  • Cash handling at the canteen and bar — fewer tins, floats and end-of-night counts.
  • Slow refunds — return money as credit in seconds instead of weeks.
  • Money leaving the club — balances stay inside the club and get spent back into it.
