Passes & Check-In

Sell passes. Scan them at the gate.

Multi-visit and season passes members keep in their phone's wallet — then a quick scan on the door counts them in, right from a volunteer's own phone. No scanner hardware to buy: a dedicated scanner login, protection against double-ups, and a report that shows exactly who came through.

Gate rolls, wristbands and a cash box are slow and leaky. ClubApp turns the gate into a quick scan: members buy a multi-visit or season pass in-app, keep it in Apple or Google Wallet, and a volunteer on a scanner login counts them in. Entries tick down automatically, screenshots and refunded passes bounce, and you get a clean record of every entry.

What's inside

A box office in your pocket.

Multi-visit & season passes

Sell passes with a set number of entries that count down each scan, or season passes valid right through to a date — unlimited for the season if you like. Members buy them in the app through the normal checkout, with daily or weekly entry caps if you need them.

In Apple & Google Wallet

Every pass lives in the member's My Wallet hub as a flip card — details and entries on the front, QR on the back. Add it to Apple Wallet or Google Wallet with your club's branding, and members show it at the gate without even opening the app.

Scan from a phone — no hardware

Gate volunteers check people in straight from a phone, using DashLite — ClubApp's on-the-go admin app (currently on iOS). There's no separate scanner device to buy. It's a dedicated scanner login with no access to the rest of your dashboard, scoped to a single venue or event, and the entry counts the moment the QR is valid.

Secure, revocable QR

Passes carry a signed QR that's validated on every scan — refunded, cancelled or revoked passes are rejected, a short cooldown blocks a code being scanned twice in a row, and entry limits stop over-use. Revoke a pass and its old QR stops working instantly.

Live box-office tools

An Active Passes screen shows who's come through in real time. Mark a "use" by hand, undo a mis-scan to hand the entry back, comp free passes to someone — one at a time or in bulk — and revoke anything that shouldn't be in the wild.

Know your gate

The member gets an instant "checked in ✓" with how many entries they have left. The committee gets a Pass Usage report: utilisation by product and venue, a day-by-day timeline of scans, and when each pass was last used.

FAQ

Passes & check-in, answered.

No. Scanning is done on a phone in DashLite — ClubApp's on-the-go admin app — so any compatible phone is your scanner and there's nothing extra to buy. DashLite scanning is currently available on iOS.

Club admins can scan, and you can also create dedicated scanner logins for gate volunteers — a sign-in that only opens the scanner in DashLite, with no access to the rest of your admin dashboard. Scanner access can be scoped to a specific venue or event, so a volunteer can only check people in where you've put them on.

Each pass carries a signed QR code that's checked on scan. Passes that have been refunded, cancelled or revoked are rejected, a short cooldown blocks the same code being scanned twice in a row, and multi-visit passes count entries down so they can't be used beyond their limit. Revoke a pass and its old QR stops working immediately.

Multi-visit passes with a set number of entries that tick down each scan, and season passes valid until a date (or unlimited for the season). Members buy them in the app through the normal checkout, and they appear in My Wallet alongside their membership card, tickets and Club Cash. You can also set daily or weekly entry caps.

Yes. A pass can be added to Apple Wallet or Google Wallet with its QR and your club's branding, so members can show it at the gate without opening the app at all.

An Active Passes screen shows who's checked in live. You can undo a mis-scan to hand the entry back, mark a "use" manually, comp free passes to someone (one at a time or in bulk), and revoke a pass entirely — which rotates its QR so the old one no longer works.

Yes. The member gets a "checked in" confirmation with how many entries they have left, and the committee gets a Pass Usage report: utilisation by product and venue, a day-by-day timeline of scans and when each pass was last used.
